SPAM

Some people like Spam....  The salty, gelatinous, rectangular pink mold makes some mouths just water! 

Here, though, we're talking about the unfortunate trend in advertising where ads appear in your e-mail, rather than only on your TV or along the roadside.  And, some people like this type of spam, too!  Obviously, someone out there likes it because that's what keeps spammers in business -- every time someone opens the mail and follows a link, this behavior confirms for the company purchasing the spammers' services that the advertising works! 

Overall, at the office, spam is an frustrating, time-consuming, and disruptive practice which isn't welcome.  We're going to show you how to configure Microsoft Outlook to filter your mail for spam. Read on, but before you proceed to configure, please be aware of one caveat.  Unfortunately, viewing your mail through Outlook will not solve all of your spam problems, and it will not solve many of them immediately.  It will take considerable time, and patience, to create Rule Filters because the task  must be done individually as problem e-mails show up in your Mail Inbox.  However, spam filters work!  You can probably reduce your daily spam to an average of only 3-4 pieces each day.  If the problem is big enough and you truly want to dedicate yourself to reducing the amount of repeated, unwanted e-mail you're receiving, then this product is for you. 

 

IMAP

Outlook may be configured to connect to mail servers in a couple of different ways.  For our purposes, we use IMAP services instead of POP3 like some other mail setups might.  POP3 deletes mail off of the server and stores it on your computer locally.  By using IMAP, mail stays on the server and we can view it with either Outlook or Lotus Notes.  In other words, if you setup Outlook and decide you just don't like it, or if there is a problem with the Outlook program on your PC, you can simply open up Notes and still see all of your mail because both programs work in the same way, connecting to the same mail server.

 

INSTRUCTIONS

These instructions are based on those from OCS (Office of Computing Services).  You are welcome to view them from their website:

For Outlook 2000 or Outlook Express.

  1. If Outlook does not appear in your Programs list, please contact Tom or Stacie to install.

  2. Find the name of your Mail Server and your user id then write them down for later use;  (You can find these bits of information in Lotus Notes, File > Preferences > Location Pref's, under Mail tab; another location where you can get them is "My Account" in PAWS).

  3. Config Outlook to use these settings In Outlook 2002,Tools menu > E-mail Accounts > Add New E-mail > IMAP

  4. Add your name as you want it to appear

  5. Add your LSU e-mail address

  6. Under Server settings:

  7. Add your user name, but not password (you will logon with your password each time Outlook opens)

  8. Click the button that says More Settings...

  9. In Connection tab, make sure Connect using my LAN is selected, click Next and you're finished

 

 

RULES WIZARD

 

Your Outlook "Rules" are like filters through which you mail passes, keeping out all of the junk using the rules you specify.  Before setting up your spam rules, make sure you have a folder to which the spam can be directed once Outlook comes across it.  Personal Folders come standard with all mail configurations, and it's easiest to choose the Personal Folder "Deleted Items" or "Trash" as the receptacle for spam.

  1. To create your first mail rule, click the Tools menu > Rules Wizard

  2. Select how you want to filter your mail, and where you want to send this mail once filtered (there is an extensive list of options)

    1. In Outlook XP, one of the easiest ways to filter is by Junk E-Mail Senders

    2. Turn on Junk E-mail options: Tools > Organize > Junk E-Mail > Turn On

    3. From now on, you can right-click a message in the main view of Outlook Mail and add the sender's address/name to your Junk E-Mail senders list

  3. Click the button that says Run Now to test your new rule.  The rule you create will filter the mail before it comes into your Inbox.
