Donor Perfect

 

RECORDS

The File menu gives access to Entry Screens  where you can  “Enter Name to Look Up” by ID#, Last Name with extra info e.g., First Name, State, Zip, Optional Line. 

If the name you searched for is not in the database, you can Add that donor to the database.

Otherwise, use the  Edit button, and the program will open a single record.  This record lists the sorted list meeting the entered criteria. At this point, you can actively EDIT the record.  Each RECORD lists personal info on Donor, including Title, Type of Donor, Potential, whether they can be contacted by mail or not, Update date, Entry Date into Database. There are other buttons, Pledge, Gift, Other Info, Links, which will pull up additional queries on info in the record.

You can click the $ button and a Giving History list (QUERY) is displayed including info on Giving and Pledging, donation by year (2000-2001, 1998-1999, etc), First donation, Last donation, Largest, Total, Gifts. 

 

 

CODES

Throughout Donor Perfect, there are areas which allow you to enter a "Criteria" or "code" or "Filter."  It is a query that you define and then assign a name to.  This is called "User-Defined Criteria" and can be found under the Edit menu; here you can add new ones or edit old ones.

For instance, this Criteria was defined; it is called "Memorials" and looks in the Gift Criteria for values BETWEEN 01/01/2000 and 10/06/2000 in the memorial field.  When you are printing out a listing of labels, you might want to use this pre-defined criteria, and then you might want to use it every two weeks.  It's handy to save these criteria when it's a query that you are going to use frequently.

 

 

PRINTING LABELS

Under the menu Mailings, click on Labels.  This screen comes up.  Next, you must tell DP which records you want labels for.  Click the box that reads "Set Selection Filter"

Here, you can click in any combination of boxes to tell DP what codes you want to limit your records by.  Each checkbox opens up the fields available for each of these tables (e.g., gift info, pledge info, etc.).  You can also press F5 to go into the list of codes you've already defined.

For instance, you might want to use pre-defined criteria that you saved earlier for the FRIENDS OF THE LIBRARY RENEWALS.  Click F5 and then this codes list appears.  Double-click on FLrenewallabels as indicated here.

A windows opens to allow you to re-check the criteria before applying it to all of the records.  In addition, you can add additional criteria to that code's criteria. 

 

GETTING A LISTING

Similar to labels, you can get a printout of the donors you have in your database by most of the same means.  A Listing is like an expanded label, or like a Report.  In the Reports menu, click on Listings.  You'll see that the same window will come as did when you chose Labels.  However, here you have additional choices on the "view" you would like of each record.  If you like, take a look at the different types of listings in the left frame of the window; this is the best way of getting an idea of what kind listings are available.  To get a full listing of all donors, don't Set any Selection Filter.  Click Preview to see what would print at this point, but don't print.
