Digital Scanning Policy

Effective January 15, 1999, Special Collections will offer a new photoreproduction service, digital scanning. Electronic copies of manuscripts and books will provide added flexibility for patrons needing reproductions for research purposes. All patrons should be aware that traditional photographic reproductions will produce much higher-quality copies of our holdings than will scanned images.

All requests for scanning of items must be made in writing using the Photoduplication Request form and must be approved by a Special Collections staff member. Requests will be denied if the item is too fragile, embrittled, or too large to be scanned with available hardware (the maximum size of an object that can be scanned is 11 x 17 inches), or if the size of the request will place an unreasonable strain on available staff resources. Photographs will not be scanned for patrons due to the damage caused by the scanning process.

When requests are approved, images will be delivered to the patron as TIFF files. Scanning will be done at a resolution of 150 dots per inch (dpi). Patrons should be aware that this resolution is of a significantly lower quality than they can obtain by requesting a photographic copy. Requested scans can be delivered as either color or grayscale images. Each image's print dimensions will correspond on a 1:1 ratio with the original object. For example, if an 8.5 x 11 page is to be scanned, the resulting computer file will print an 8.5 x 11 image. As each image is scanned by library staff, basic quality control will be done to ensure proper alignment, resolution, and color correction. Files can be delivered via a computer disk, a CD-ROM, or as an electronic mail attachment.

Some services cannot be provided due to limitations on staff resources. No optical character recognition scanning will be performed. No image editing, beyond basic quality control, will be performed.

Scanning requests will be completed in the order that they are received and approved. If an excessive number of requests are submitted, a work order may require as long as six weeks to complete. The cost is $7 per scan. Additional postage and handling will be charged if applicable.

All use of digital images must comply with U.S. copyright laws. LSU Libraries retains physical and copyright rights for all holdings in accordance with U.S. copyright laws.
