Discarding Duplicate Copies

Due to the crowded conditions of the Middleton stacks, added copies of titles or volumes are discouraged. CS staff are to follow these guidelines in connection with titles that come to their attention because of donations or questions.

Guidelines

Only two circulating copies of a title will be retained in Middleton, unless specified by CD. When additional copies are donated or brought to the attention of library personnel, staff should ensure that the copies retained are in prime condition. Others should be discarded on receipt or at any time they come to the attention of staff.

Monographs donated– if a duplicate title, CD will determine if the existing title has circulated. If there are no recent circulations, the title will not be added unless it is in prime condition and is used to replace the stack copy, which will then be discarded.

Donated serials volumes – duplicate volumes will be used to replace existing volumes if the condition warrants replacement. Donated volumes will not be added unless circulation data indicates a need for an additional copy or copies. Extra volumes will be discarded. For example, only two circulating copies of the LSU Gumbo yearbooks will be retained in Middleton. Special Collections will be contacted before extra Gumbo copies are discarded in the event they are interested in replacing archival copies.
