What Those Words Mean:

 

Budgeted

What we have planned for you to spend.  For most years, this will be for the full year.  This year (2001-2002) it will be just the money not already spent in NOTIS.  Thus in January of 2002 it should be much smaller than the amount you had for the whole year.  Warning!  If we find more money for books this amount may suddenly go up.  An effective selector will be ready to spend at least 10% more of the full year's budgeted amount.  Why? Some material may cost less than list price.  Some items may no longer be available to buy.

Encumbered

Set aside to pay for specific items you have selected.  We haven't paid for anything with it yet, but we plan to.

Free balance

 

The money you still need to use.  This amount has NOT yet been earmarked (encumbered, in accounting jargon) for specific books and other materials.   You probably will need to choose material costing more than this in order to spend this amount. For fiscal year 2002 ignore the percentage shown.  In future years this will be the percent of your budget you still have to spend. 

Invoiced

We have received the bills, have recorded them in the SIRSI Unicorn system, and have forwarded them to the University to be paid.

Cash balance

The dollars still in your account.  You probably don't have all of this to spend because some of it has been earmarked to be paid (encumbered) or is in the process of being paid.  Use your Free balance, not this, to estimate how much work you have left to do.

Paid

Our books say we have paid for this much of what you selected.
