LSU PRESS Procedures for Cataloging
The LSU Libraries receive 4 copies of each new title from the LSU Press. Two copies are for Middleton stacks, one copy is for LLMVC and the remaining copy is for the LSU Press archival collection. Follow the usual copy cataloging and original cataloging guidelines for the bibliographic records. For the final processing, please follow the procedures that appear below.
1. Need a 541 note in bib record that says :|cgift; |aLSU Press, |n4 |oc.
2. 4 copies - 2 for Midl-Main, 1 for LLMVC, 1 for UARCHIVES
item type home location item cat1
BOOK STACKS BOOK
Vol./Copy statement for LLMVC copy:
item type home location item cat1 item cat2
BOOK LLMVC BOOK DOC-LA
Be sure to put DOC-LA in item cat. 2 for LLMVC copy.
If this copy is signed by the author, add a local 590 note to the bibliographic record that says "LLMVC copy is signed by the author."
Vol/Copy statement for UARCHIVES copy:
item type home location item cat1 item cat2
BOOK UARCHIVES BOOK DOC-LA
SHADOW THIS COPY, ITEM CAT 2 is DOC-LA, LSUPR goes immediately after the year in the call number.
It also goes in the STAFF NOTES field as "SUFFIX:LSUPR".
For the 2 MIDL-MAIN copies, you write the call number in the book on the T.P. Verso and send the pieces to be targeted, stamped & labelled.
For the LLMVC copy you write the call number in the book on the T.P. Verso & put a green flag in the book with the call number on it. Database Management or LLMVC staff will type acid free slip with call number on it for permanent slip.
For the UARCHIVES copy, DO NOT WRITE IN THE BOOK. Write the call number on a green flag & place in book. Database Management or LLMVC staff will type an acid free slip with call number on it for the permanent slip. The correct form for this copy is:
SPEC. COLL. UARCHIVES LSUPR E 476.64 .D37 1983
2/19/04 per Elaine Smythe and Marsha Aucoin:
If we get a paperback copy of a title that is already in workflows and this book DOES NOT have the LSU press edition statement with a different copyright date, or the Louisiana pbk. edition statement with a different copyright date, then this book should be added to the existing record - but only if it is the 1st printing for the paperback copy, and ONLY for the UARCHIVES copy. The other 3 copies go to Acquisitions to Shayne Bertrand to offer to other libraries. (See title "Lee and his generals in war and memory".) Also, add a local 590 note to the bibliographic record that says "Library's Archival copy is paperback."
