Collection Services: Cataloging
Copy Numbering Policy
- Multiple copies (same call number) of single-volume monographs will be numbered sequentially system-wide, regardless of location.
- In publicly displayed cataloging notes (those that occur in the bibliographic record in 5XX fields), multiple copies belonging to various permanent locations will be referred to by their copy number, with location appended, e.g.: "Library's copy 6 (Rare) has author's autograph." Staff trying to locate a specific copy, or assisting patrons in doing so, need to be aware that copy numbers do not necessarily correspond to the order in which items display in the OPAC.
- Single copy numbers will be assigned to multi-volume sets, regardless of time of receipt or completeness of sets. For example, if vols. 1, 3 and 5 of a 6-volume set are received as a gift and vols. 2, 4 and 6 are purchased to complete the set, they will be added to one copy holdings statement so that they will display as one complete copy in the OPAC.
