Subject: Checkout of Circulating Library Equipment


Purpose: Clarify fair, judicious, and appropriate staff use of Libraries' circulating equipment outside the Libraries.


POLICY

    The person who checks out the computer for work related purposes in concurrence with LSU Policy Statement 101, Appropriate Use of University Equipment and Property, is responsible for it and its return, and should not loan it to anyone else. In general, equipment is reserved on a first-come, first-served basis.

    Prior Notice: Libraries staff will notify Library Systems at least two working days in advance of any changes needed on the equipment prior to the time of need. If any hardware additions are required, at least a month prior notice is needed to order the required item.

    Length of checkout: Libraries equipment may be checked out for no more than one week at a time, or conference length plus travel time, by any one staff member.

    Staff will be asked to present their valid LSU ID upon booking. Staff and the person checking out will be required to sign out and sign back in the list of accessories. Libraries staff who do not return equipment when required shall lose checkout privileges for all equipment for three months. The staff member's supervisor and the Dean will be notified in addition to the checkout service provider. The equipment must be returned by the person who checked it out.

    Software: Only Library Systems staff shall install or remove software, and approve or supervise same. Users should delete all personal data files before returning the equipment.

    Home: Checkout for administrative-directed home use for extended periods must be handled through the Assistant Dean for Library Systems, who will request approval of required LSU forms through LSU Property Management.

    Exceptions: Library Systems may book and check out equipment for necessary repair, upgrade, inventory, or checkup. Other exceptions may be made with the approval of the Assistant Dean for Library Systems and the Dean.

    Enforcement: Checkout privileges can be revoked at any time by the Dean. Any staff member can recommend revocation of privileges, through channels, with justification. Library Systems and the checkout service provider will notify the Dean of all non-standard occurrences.

    Appendix: (to be updated as equipment and personnel change)

    Equipment: Desktop or laptop computer, Multimedia LCD projector, or digital camera.

    Borrowing policy: Equipment may be checked out between 8:00 AM and 4:30 PM Monday through Friday, Dell-B from the Facilities Manager in Room M-3C Hill; Dell-Prime, Dell-600M, Dell D610, and projector from the Assistant Dean for Library Systems in Room 30B Middleton. Digital camera reservations may be requested by sending email to Sandra Brady of the Middleton Reference staff.
